Prepare Materials for Submission

This page includes important considerations for material being submitted to TSpace.

 

Copyright

1. Do you hold copyright? If not, do you have permission to upload your work?

 

If your item was published (e.g., an article or a book), you may have signed over copyright to your publisher. Before uploading your work to TSpace, you need to determine whether your publisher permits (a) self-archiving your work to an institutional repository and (b) which version of the paper you can deposit.

Follow these steps to check and/or obtain copyright permissions:

1. Check the copyright agreement you signed when your article/book was published
2. If your item was published in a journal, check Open Policy Finder (formerly Sherpa Romeo), a fantastic resource that contains the self-archiving policies of most journals.
3. Find the permissions or copyright email address from the publisher's website and contact the publisher to request self-archiving permission. Feel free to adapt these request templates.

Version

2. Are you uploading the correct manuscript version? 

 

Many publishers do not allow the deposit of the final published paper in an institutional repository.

However, they may allow the deposit of a:

• submitted manuscript/pre-print (the version before peer review) or
• accepted manuscript/post-print (the version after peer review with changes made by the author).

If you need to comply with the Tri-Agency Open Access Policy, you need to deposit an accepted manuscript ( post-print), if the final published version cannot be self-archived.

 

File Format

3. Is your file format supported?

 

In general, documents should be converted to PDFs for preservation purposes. Visit our supported formats page for more details. For multimedia documents, such as audio and video, consider using U of T’s MyMedia streaming platform, which supports instant playback and closed captioning.

Some publishers may require a copyright statement and/or a DOI hyperlink to the final published version of your work, which can be included on a cover sheet and/or in the "description" box during the submission process.

 

Accessibility

4. Is your work accessible?

 

Files submitted to TSpace should be made accessible in compliance with the Accessibility for Ontarians with Disabilities Act (AODA) when practicable. Visit our accessibility page for guidance on how to improve the accessibility of your work.
